HubSpot Access Setup Guide
To configure your HubSpot integration accurately, we need direct read access to your HubSpot form. This allows us to see your exact form fields, their types, and which are required — so we can set up the field mapping on our end without any back-and-forth.
You only need to do this once. After granting access, our team takes care of the rest.
What Access We Request
We request access to the forms scope only. This allows us to:
- Read your HubSpot form fields, types, and required flags
- Submit ProForm responses to your HubSpot form once the mapping is configured
We do not access your contacts, deals, pipelines, or any other HubSpot data.
How to Connect
Step 1 — Start the Connection
There are three ways to begin, depending on your situation:
Option A — From the user menu (logged in)
Open the user menu from your dashboard. You will see HubSpot with a gray dot indicating it is not yet connected. Click it to begin the connection.
Option B — From the remap editor (logged in)
If you are setting up a HubSpot integration inside the remap editor, a Connect button will appear automatically when HubSpot or HubSpot (No Country Code) is selected as the service. Click it to start the authorization flow.
Option C — Via an installation link (not logged in)
If you do not have dashboard access, your administrator can generate a direct installation link from the admin dashboard under Groups. Open that link in your browser to go straight to the HubSpot authorization page.
Step 2 — Authorize in HubSpot
You will be redirected to HubSpot to complete authorization. Review the requested permissions and click Connect app to continue.
* In some cases HubSpot may show an additional confirmation notice before connecting. This is safe to proceed through.
Step 3 — You're Connected
You will be redirected back to your dashboard automatically. Your HubSpot account is now linked.
Step 4 — Map Your Fields
Go to your integration settings, select the HubSpot form you want to sync responses to, and map your ProForm fields to your HubSpot form fields. The platform loads your form fields directly from HubSpot so the mapping is always accurate.
How to Disconnect
To remove the connection, open the user menu from your dashboard. You will see HubSpot with a green dot indicating an active connection. Click it to disconnect.
This immediately revokes the platform's access to your HubSpot account. No further data will be submitted.
Troubleshooting
I don't see my form fields after connecting.
Make sure the HubSpot form exists and is not archived. Try disconnecting and reconnecting if the issue persists.
The authorization page says "unverified app".
This is normal for direct integrations not listed on the HubSpot Marketplace. The app only requests forms access and is safe to connect.
I was disconnected unexpectedly.
HubSpot access tokens expire periodically. The platform refreshes them automatically, but if your account permissions changed you may need to reconnect.
